Requirements: Renters must be 25 years of age or older. We can only accept reservations with arrivals up to 18 months in advance. We require a 3-night minimum stay. During the time period of Memorial Day to Labor Day, we require a 7-night minimum with an arrival and departure on Saturday. Monthly rentals are available at select properties during the months of October to March.
Reservation Holds: Due to the high demand of certain weeks and timeframes, we are not able to hold any reservations. We do recommend that once you have decided on a rental property and time frame that you book right away to avoid missing out on those dates.
Website Reservations: A credit card is required to make all reservations. Website reservations are subject to all terms and policies.
Rates, Taxes & Fees: Published rates are weekly rates, and reflect payment by Visa, MasterCard, Discover, and American Express credit cards. All rental rates are subject to change without notice. Tax is included in the total price and is 10% (7% state/ 3% local). A $75 damage protection plan is included in the total cost and is non-refundable (in lieu of security deposit). The Accidental Damage Protection Plan covers your rental property up to a maximum of $3,000.00. Damages not covered will be billed to the guest's credit card on file. If you choose to forgo the damage protection plan, the card on file will be charged $4000 as a security deposit until you vacate the property and the property is inspected. If no damages incur during your stay, the security deposit of $4000 will be returned to you 30-days after departure.
Deposits and Payments: Once your reservation has been made, a rental agreement will be e-mailed to you for digital signature. A deposit of 50% of the total cost is required and will be charged to the credit card on file for the reservation and the balance is due 30-days prior to arrival. If you do not receive this information, please call our office right away. We are only able to accept a maximum of two credit cards for any one reservation. In the event your reservation is made within 30 days of arrival, we can only accept one credit card for the full amount. The credit card to which the deposit payment was made does not necessarily have to pay the balance, but it is the responsibility of the guest to update the credit card on file. All cards not updated by the guest prior to the due date will be automatically charged.
Travel Insurance (OPTIONAL): Travel insurance is available to all guests up to the final payment, 30 days prior to arrival. Once insurance is purchased, it is non-refundable. Travel insurance cost is 6.95% of the total reservation amount. Please contact CSA Travel Protection at (866) 999-4018 if you have any questions about coverage. Vacation Rental Insurance reimburses for pre-paid, non-refundable expenses due to certain unforeseeable circumstances that may cause you to cancel, interrupt or delay your trip.
Cancellations and Refunds: No cancellations will be accepted due to inclement weather related issues. We highly suggest you purchase a “CSA Vacation Rental Insurance Policy” to help recoup any lost payment in the event you are not able to attend your vacation, please contact CSA Travel Insurance Protection at (866) 999-4018. Should the owner of any property elect to remove their property from our rental program, or not accept a reservation, the guest shall not hold VHHH liable. In such an instance, the guest will be relocated to comparable accommodations determined by VHHH. If comparable accommodations are not available, the guest will receive a full refund. Cancellations made without travel insurance are outlined below:
Cancellations made 90-days or more prior to arrival without travel insurance will be allowed and a full refund of payments made less the reservation fee (4%) will be issued.
Cancellations made 31-89 days prior to arrival will result in a forfeiture of the 50% deposit payment made upon booking.
Cancellations made 30 days prior to arrival will result in a full forfeiture of the total payments made.
Cancellations or changes that result in a shortened stay forfeit the full payment credit and the right to reschedule. Cancellation by early departure does not warrant any credit of rent. If you accepted vacation rental insurance at the time of booking, the premium for CSA Vacation Rental Insurance has been prorated and included in the cost of your initial deposit.
Pool Heat: All properties that have the capability of heating the pool or hot tub must be requested and paid for prior to the final balance due date. If you make a reservation less than four weeks in advance, pool heat must be purchased at the time of booking. This addition of pool heat to your reservation is at the discretion of the reservation agent. All unforeseen pool or hot tub heater problems are not the fault of the company.
Southern Hospitality Pass Information: Our “SoHo” pass provides the guest with one free round of golf, one free round of miniature golf, and one pass aboard a dolphin/nature cruise everyday of their stay. Monthly reservations do not qualify for the Southern Hospitality Pass. The reservation must be a 3 to 7-night reservation to qualify.
Bike Gear Rentals: All bike and beach equipment must be ordered 48 hours prior to your check-in time to ensure availability of equipment. All orders are subject to availability, so we suggest placing your order at least two weeks in advance.
Check-in & Check-out:
Check-in time is 4:00 PM and we do not offer early check-ins to ensure your property has been properly cleaned and inspected prior to your arrival. All properties are equipped with a keyless entry system. You will be provided your reservation code upon final balance payment and this code will activate for your 4:00 PM arrival. Additional fees will be charged to your credit card if you are found to be in violation of this policy. Occasionally during peak seasons, your home or villa may need excess cleaning and may not be ready promptly at 4:00 PM. Your patience is greatly appreciated with regards to this matter.
Check-out time is 10:00 AM or earlier. No exceptions! All homes and villas are cleaned and inspected after your departure. Late check-outs will be billed at $500 per hour if found in violation of this strict departure time. We are not responsible for items left behind. If you happen to leave behind belongings, please contact our staff via email at Info@VacationHomesofHiltonHead.com with your name, your mailing address, the property where you stayed, and a description of your items. We will return your email the following business day to schedule returning of your items.
Vacation Rental Properties
Home & Villa Equipment: All homes and villas are privately owned and equipped for vacation needs. Bedding and bath towels are provided for the maximum number of guests stated for each home and villa. Kitchen utensils and starter supply of soap and paper products are made available. You will need to bring or purchase additional supplies. Each home or villa will contain at least one TV and one DVD. Hairdryers are not provided. Beach equipment and beach towels are not provided. Do not use home or villa linens as beach towels. Your credit card will be charged for additional cleaning if the home or villa, linens, and/or carpet are found to be excessively dirty. Telephones are provided in most homes. Local calls are free. Use a calling card or dial collect to place long distance calls. Maintenance problems in the home or villa will be handled in a timely and professional manner. The rental rate will not be adjusted due to any malfunction of equipment, which includes TV’s, VCR’s, DVD’s, air conditioning units, hot water tanks, elevators, stoves, refrigerators, door locks, hot tubs/spas, pools, etc. Vacation Homes of Hilton Head is not responsible for resort amenities such as schedules, pool & spa closures, etc. At the time of publication, all home and villa amenities are accurate to the best of our knowledge.
Cleaning Policy: All properties come equipped with linens, towels, and starter amenities. The property you are staying in is cleaned prior to your arrival and cleaned upon your departure. In the event you would like to have the property you are staying in cleaned during your stay please contact our office for pricing. The cleaning will take 4-5 hours on homes a 2-3 hours on villas. All sheets, towels, and starter amenities will be exchanged. Partial cleanings are not offered.
Occupancy: Take note of the maximum number of guests allowed in the homes and villas before making your reservation. This policy is strictly enforced and will result in eviction if you are found in violation of the maximum guest policy for your rental home. Weddings, receptions, and parties of any kind are not allowed without a written request and approval from Vacation Homes of Hilton Head. Homes and villas are not available for rent to vacationing students or guests under the age of 25. This policy is strictly enforced and will result in eviction if you are found in violation of the maximum number of guests or minimum age of guest’s policy for your rental home.
Pet Policy: No pets allowed, except in designated pet-friendly homes and villas. No more than two dogs are allowed in all pet-friendly homes and villas (no cats, birds, etc.). No dogs exceeding 50lbs are permitted in any of our rental properties. There is a pet fee of $100 per dog, which is non-refundable.
No Smoking: All homes and villas are non-smoking! No exceptions!
Plantation Access & Parking: Car passes are required and will be issued for all vehicles entering a plantation area and condominium complex (up to the maximum allowed). Trailers, motor homes, motorcycles and/or recreational vehicles are prohibited in the plantations and in most resorts on Hilton Head Island. Certain restrictions may apply, please check with our office.
Beach Access: Beach access is designated per property. Please do not use private beach access. Please use the public beach access designated closest to your home.
Parking: All cars must be parked in the garage or in the driveway. Any cars overhanging the driveway or parked in the street are subject to be towed. Some private homes do not have parking access in the garage or on the street. Certain restrictions may apply, please check with our office.
Propane Reimbursement: If the propane of your gas grill should run out during your stay, please exchange the tank at any gas station. You may e-mail us a receipt for reimbursement to firstname.lastname@example.org. Please note in your e-mail the Last Name on the reservation and the Property Address of the home you rented. Please provide us the person's name whom the reimbursement check should be made payable and mailing address. The check will be issued within seven days of departure. We will not reimburse you for new tank purchases, you must take the existing tank with you and exchange it. Cost is approximately $17-$25.
